Privacy Policy
Plain-language overview of how we handle your information and your clients' information.
1. Who this policy covers
This policy applies to therapists and administrative staff ("practitioners") who use Manage Softly, and to their clients who access the client portal.
2. Information we collect
Account information: name, email, and authentication details (email/password or Google Auth) for practitioners.
Practice information: working hours, availability, fee catalog, and team member details.
Client information entered by practitioners: intake records, assessment scores, treatment plans, session notes, appointment history, and invoices.
Client-submitted information: information clients enter directly in the portal, including task/assessment responses and messages.
Directory information: for practitioners who opt into the public directory, publicly visible profile details and session requests submitted by prospective clients.
Technical information: basic usage and log data necessary to operate and secure the platform.
3. How we use information
We use collected information to operate the practice management workspace, enable communication between practitioners and clients, generate invoices and reports, maintain the public directory (for practitioners who opt in), and secure the platform.
4. How information is stored and separated
Each practice's data is isolated from other practices on the platform. Access within a practice is controlled by the practitioner through team permission settings.
5. Telehealth recordings
Recordings are optional and initiated only by the practitioner. Recordings are automatically and permanently deleted 15 days after creation, at the practice's local noon, with no extension available.
6. Data export and deletion
Practitioners can export client and invoice records to CSV at any time. Requests to delete account or client data can be made by contacting support.
7. Third parties
We use third-party infrastructure providers to operate telehealth, hosting, and related technical functions. These providers process data solely to deliver the service and are not permitted to use it for other purposes.
8. Changes to this policy
We will update this policy as the product evolves and will note the date of the most recent change.
